About the Role
The Executive Assistant will work with and provide support primarily to our Chief Operating Officer and our Chief of Staff. We’re looking for a highly organized and resourceful person who anticipates and handles details and ensures nothing is overlooked! The successful candidate will have a strong sense of timeliness and a demonstrated ability to use sound judgment such that this person acts in lieu of the leader to ensure timely follow up, communication, proper ownership, and prioritization.
•Prepare for meetings, handle complex and ever-changing day-to-day calendars, and schedule, organize, (and at times, record) meetings. •Attend critical meetings, manage agendas, and record action items (taking action on certain items as appropriate).
•Anticipate important meetings and deadlines, assess priority, and ensure the right documentation/communication is in place ahead of and following such items
•Assist with organizing and planning key company quarterly offsite programs, including working with our office manager on swag logistics and follow-up surveys to help improve future offsites
•Coordinate event and travel logistics for leadership team events and full company events
•Manage confidential business and personal information with high level of integrity and discretion
•Maintain project tracking for COO
•Anticipate, receive, manage, and streamline administrative requests
•Create documents for the leader (know and emulate the style as well as understanding the content) and guarantee the highest level of grammar and accuracy when preparing or proofreading documents, presentations, and correspondences
•Monitor communication flow (including the COO’s email inbox). Exercise timely judgment to raise business issues appropriately
•Uphold the professional demeanor of the executive office and demonstrate sustained mastery of the requirements of an executive office
4+ years of experience in:
•a fast-paced executive support function
•prioritizing multiple projects
•Microsoft Office Suite
